Who we are

ArchitectByAI is an individually operated business / sole proprietorship based in Illinois, United States. In this policy, “ArchitectByAI,” “we,” and “us” refer to that business. For privacy questions, contact hello@architectbyai.com or use our Contact page.

Inquiries and information you provide

Our general inquiry form collects your name, email address, service interest and message, with an optional business name. We use this information to respond, discuss your requirements, provide support and keep relevant business correspondence. FormSubmit relays submissions to our business inbox; anti-spam checks may involve Google reCAPTCHA. These providers receive information needed to process the submission.

Please do not send passwords, payment-card details, private customer records or other sensitive information through the form, chat or portfolio demonstrations.

Optional AI Concierge

AI Concierge asks for your agreement before sending your message and recent conversation to Google’s Gemini service to generate a response. You can use Contact instead. Responses may be inaccurate and are not binding quotations or professional advice.

The website keeps the conversation in the current page’s memory until you clear it or leave. It does not save a chat transcript in our application’s private rate-limit records. Those records contain request counters, keyed identifiers derived from IP addresses and timing information to limit abuse. Hosting and provider logs are separate.

Google’s treatment of prompts and responses depends on the service and account configuration. Under unpaid-service terms, content may be used to improve Google products and may be reviewed by people. Paid-service terms provide different treatment; neither means that no provider processing or retention occurs. Do not include confidential, sensitive or personal information in chat. See Gemini API terms and Google’s Privacy Policy. AI Concierge is intended for adults seeking professional or business information.

Paid Website Audit and payment information

When checkout is available, the digital store offers six paid downloads. The Kids Coloring Book Kit is excluded from paid checkout. For digital orders, we record the product, PayPal payer email, order and capture references, amount, currency, payment status, receipt delivery status, and download activity to deliver and support your purchase. The recovery link is a private credential and should be kept confidential. For website audits, the Professional Website Audit costs $49 USD one-time and covers up to five publicly accessible pages, a manually prepared PDF report and four launch bonuses. General inquiries are not purchases.

Audit intake collects your name, email address, website URL, optional comments, permission to assess public pages and acceptance of the applicable Audit terms. We use this information to verify the request, communicate with you, perform the assessment, prepare and deliver your report, and handle support, cancellation or refund requests. Intake and report files are stored privately, not offered through public download links.

PayPal processes payment under its own terms and privacy practices. We record the Audit reference, order/capture identifiers, amount, currency, merchant/payment verification status and relevant timestamps. We do not collect or store full card details or PayPal account passwords. Your browser contacts PayPal when you proceed to checkout; the merchant application sends the payment information needed to create and verify the order.

Bluehost email services deliver payment confirmations, internal notifications and report attachments. The report is sent to the email address supplied in your intake. Please check that address carefully and tell us promptly if it is incorrect. We do not promise end-to-end email encryption. Reports and intake information are shared only as needed to fulfill and support the service, operate our providers, or meet applicable obligations.

Payment and fulfillment records are retained as needed for service delivery, support, accounting, disputes and applicable legal obligations. Retention involves manual review; no automatic deletion schedule is claimed. The inquiry and security-log review targets below do not automatically delete transaction records or provider backups. Private Sandbox tests use test funds and are kept separate from live orders.

Technical information and browser storage

Bluehost provides website hosting and business email. Hosting and security systems may process IP addresses, request times, URLs, browser information and error records for delivery, maintenance and abuse prevention. External fonts, libraries, media and service links may also cause your browser to contact their providers.

Browser storage supports interface state and some fictional demonstrations, including sample workflows, learning progress or preferences. This is browser-local state, not a shared customer account. You can clear it through browser settings; doing so can reset demonstration progress. Application session cookies may be used when server-side features are accessed. Disabling storage or third-party services can affect functionality.

We use providers as needed for hosting, email, inquiry handling, anti-spam protection and optional AI responses. Information may be processed outside your state or country under provider terms. We do not promise a particular storage location or identical retention practices across providers.

Retention and security

Our retention targets are to review business inquiries for deletion after 24 months without a meaningful interaction and security logs under our control after 90 days. These are manual-review targets, not automatic deletion deadlines. We may retain relevant information longer for an ongoing relationship, legal obligations, security incidents or disputes.

Provider-managed logs, mail copies, trash and backups can have different retention cycles; we cannot promise deletion from every provider or backup within those periods. A copy removed from an active system may remain in restricted backups until their retention cycle ends. We will consider these copies when responding to a deletion request.

We use access restrictions and other reasonable safeguards, but no website, transmission or storage system is completely secure.

Your choices and privacy requests

You can choose not to submit an inquiry or use chat. Depending on applicable law, you may have rights to access, correct, delete or obtain information about the personal information we hold. Email hello@architectbyai.com to make a request. We may need proportionate verification before disclosing or changing records. Legal duties, another person’s rights and legitimate record-retention needs may limit a request. This policy does not restrict rights provided by applicable law.

We will post changes here with an updated version date. Material changes to data handling will be communicated as required by applicable law.
